Overview of Reminders
Daily Sheets Reminders are a great way to stay on track and on time with daily student activities, such as bottles, meals, diapers, potties, temperature checks, administering medication, and sleep checks. When using the Reminders tool, users will have the option to select the student, the type of activity, and the time-frequency in which the activity needs to be fulfilled. Once the Reminder is set, users will receive consolidated alerts from the Kaymbu platform via the web and the app, prompting a reminder to complete the scheduled student activity.
Accessing Reminders
Reminders are accessible by navigating to Menu > Daily Sheets > Reminders. Reminders are only currently available for programs using both the Attendance and Daily Sheets modules in Kaymbu. If you do not have these features available on your Menu, please contact our team to learn more about pricing for your program by emailing us at help@kaymbu.com.
How to Create Reminders
Administrators, directors, or teachers can create and set up Reminders for the following activities:
When creating Reminders for the first time, select the green plus (+) button on the bottom right of the Manage Reminders page. From there, users will be prompted to select the Activity, Frequency, and applicable student(s). Please note, users can only create one reminder per student per activity. After creating the Reminder, click Save.
It is important to note that in order to receive Reminder notifications, the teacher that is signed in must be marked On-Duty and the students must be Checked-In through Attendance. The first Reminder notification will trigger at the set interval after the student has been checked in or after the first activity has been completed, whichever comes first. More specifically, in order to receive a bottle reminder for a student every three hours, the teacher must be on duty, and the student would have to be checked in. The Reminder notification will trigger three hours after the student has been checked in. If a bottle activity is logged before the three-hour notification, the reminder will automatically adjust to be three hours after the first bottle activity was logged.
Once Reminders are saved, users will be redirected back to the Manage Reminders page, where an itemized list of Reminders are organized by activity and time-frequency. Additionally, Reminders can also be edited or deleted from the Manage Reminders page. To do so, select the pencil icon to the right of the activity. Users have the option to edit the activity or frequency, add or remove students, or delete the Reminder altogether.
To access the Reminders Dashboard, navigate to Menu > Daily Sheets > Reminders. The Dashboard is the central place to view, track, and manage the status of scheduled activities for each student in your care. To learn more about the Reminders Dashboard, click here. To create any additional Reminders or to edit existing Reminders, users can access the Manage Reminders page by selecting “Manage Reminders” on the top-right corner of the Reminders Dashboard.
When a student has been newly added to your roster, an alert will appear at the top of the Reminders Dashboard, indicating that reminders need to be created for the new student.
To set up reminders for new students, click on “Create reminders”. Users will be led to the Manage Reminders page where an additional alert will reveal the student(s) that do not have reminders set up, as well as instructions on how to create the reminder.
Reminders Components
Once Reminders have been created and saved, users will receive notifications on their device through the Kaymbu app and on the web through the Kaymbu website. Teachers will receive an alert every fifteen minutes if (and only if) upcoming activities are due within that time frame. By clicking on the notification, users will be redirected to the Reminders Dashboard, where the activity can be logged and saved. To learn more about logging and managing Activities on the Reminders Dashboard, click here. When the activity is completed, it will automatically reflect on the student’s Daily Sheet. Please note that only users at the teacher level will be able to receive Reminder notifications. Directors and higher-level users will not receive notifications.
App Notifications
App notifications are available to users that want to utilize the Reminders tool on their mobile device, iPad, or tablet. It is important to ensure that push notifications from the Kaymbu app are enabled. To enable notifications, navigate to the device’s Settings > select the Kaymbu app > Notifications > Allow Notifications. Bundled alerts will appear every fifteen minutes whenever there are upcoming activities within that time frame.
To log activities from a device, tap on the notification. Users will be redirected to the Reminders Dashboard, where the activity can be managed by clicking on the status of the activity for the applicable student(s).
Web Notifications
In addition to app notifications, users will receive automated Reminder notifications when on the Kaymbu website. Similarly, consolidated alerts will appear every fifteen minutes if (and only if) there are upcoming activities in the next 15 minutes.
To complete the activity from the Kaymbu website, click “Review” on the notification. Users will be redirected to the Reminders Dashboard. From the dashboard, select the status of the activity for the applicable student, log the information, then select “Save.”
Notification Badges
In addition to push notifications and alerts, notification badges will also appear on the Daily Sheets tab on the Menu, and on the Reminders tab. The badge will indicate the total number of activities that are currently past due.
Activity Log
The Activity Log is where users can find a record of all completed care activities. To view the Activity Log, navigate to Menu > Daily Sheets > Activity Log. Additionally, users can utilize the filters at the top of the page to narrow down searches by Date, Student, and Activity.
