Accessing Reminders Dashboard
Users can access the Reminders Dashboard from the Kaymbu app or from the Kaymbu website my.kaymbu.com by navigating to Menu > Daily Sheets > Reminders. If you do not have the Daily Sheets feature available on your Menu, please contact our team to learn more about pricing for your program by emailing us at help@kaymbu.com.
The Reminders Dashboard will become accessible once Reminders have been created, a teacher is marked On-Duty, and students are Checked-In through Attendance. To learn more about how to create a Reminder, click here.
Layout of Reminders Dashboard
The Reminders Dashboard is designed to give users a status overview of each student's daily scheduled activities. The list of student names is located on the left view of the dashboard, while the top row contains the activity types for which you have to create a Reminder. Activities may include bottles, meals, diapers, potty, medication, temperature checks, and sleep checks. The center of the dashboard is where users will find the current status of the activity, represented with a time display.
Reminder Status
The status of a Reminder is represented in three different states by a colored visual cue. For overdue activities, the status and the student’s name will be highlighted in red. This means that time has elapsed since the activity was due, and it requires immediate attention. For activities scheduled to occur within the next fifteen minutes, the status of the activity will be highlighted in green to indicate that this activity is due soon. All other upcoming activities for the day will be indicated in a blue font with a white background. Additionally, an empty cell means there is no scheduled activity for that particular student.
Display Options
Users can customize their view of the Reminders Dashboard in various ways by selecting from the display options at the top of the dashboard. The Time Display gives users the ability to view the “Actual” or the “Elapsed” time. The “Actual” time will show the clock time that an activity is due. The “Elapsed” time will count the number of hours and minutes until an activity is due. Additionally, users can choose whether or not they would like the dashboard to display the last activity that was completed via the toggle next to “Show last activity.”
For the default display option, “Actual” has been selected for the Time Display, and the option to show the last activity has been turned “Off.” This setting combination will only display the actual clock time in which the activities are scheduled to be fulfilled.
For the second display option, “Actual” has been selected for the Time Display, and the option to show the last activity has been turned “On.” This setting combination will display the previous time the activity was completed and the actual time of the upcoming scheduled activity.
For the third display option, “Elapsed” has been selected for the Time Display, and the option to show the last activity has been turned “On.” This setting combination will display the amount of time that has passed since the previous activity and the amount of time remaining until the next scheduled activity.
Lastly, for the fourth display option, “Elapsed” has been selected for the Time Display, and the option to show the last activity has been turned “Off.” This setting will only display the amount of time remaining until the next scheduled activity.
Managing Reminders
Teachers can create and manage Reminders by clicking “Manage Reminders,” located on the top-right of the dashboard. To learn more about creating Reminders, click here. The Manage Reminders page contains an itemized list of student Reminders that are organized by activity and time frequency.
Interacting with the Reminders Dashboard
Reminders, Activities, and Daily Sheets can all be accessed from the Reminders Dashboard. This allows teachers to easily manage and log student activity information all from one central place.
From the Reminders Dashboard, users can click on a student’s name to be directed to their Daily Sheet. Teachers can review or edit any of the student’s activities for the day.
Users can also click on the status of a student’s activity within the Reminders Dashboard. In doing so, teachers will have the ability to log the next instance of that activity for that student. Please note that when logging Daily Sheet activities, teachers will be required to select the staff member who is logging the activity. The student for whom a user is adding the activity for will already be pre-selected. Additionally, if there are students with overdue activities, the status of these students will be visible when managing an activity within the Reminders Dashboard.
Another feature of the Reminders Dashboard is the ability to view the status of an activity by order of priority. By clicking on the downward arrow located to the right of an activity, users will be able to view, in order, the student and activity in need of immediate attention. To revert back to the original grid format, click on the upward arrow.
Mobile Format of Reminders Dashboard
All of the features of the Reminders Dashboard are accessible from a mobile device. However, please note that the Reminders Dashboard format may differ slightly depending on the specific screen size of your device.
The “Time Display” and “Show last activity” options can be accessed by selecting “Filter View” on the top left corner of the dashboard. Furthermore, the status for each activity can only be viewed one at a time when in portrait (vertical) mode. To view all other Activities, users can click on the three dots in the top right corner of the grid. This will reveal an overview of all other Activities, including their current status. Users can simply tap on the specific activity to view or manage it.
