What are Family Communication Settings?
Family Communication Settings enable you to customize how information is shared with families from your account. Family Communication Settings include options for the Family Digest, Drop Off Notes, Liability Check, and Family Reply Settings. Please note, that Family Communication Settings can be customized and locked at different account levels depending on your account setup and access level.

Accessing Family Communication Settings
You can access the Family Communication Settings from the Kaymbu or COR Advantage app on your device or from the website my.kaymbu.com by going to Menu > Settings > Family Communication.
Customization
With this setting, Directors and Administrators can configure whether or not they would like to allow users with lower access to customize their own Family Communication Settings. Customization affects the Digest Settings, Drop Off Notes, Liability Check, and Family Reply Settings. If everyone within the program should have the same preferences, the Director or Administrator will want to slide the customization toggle OFF:
For example, if a Director wanted all of the Classrooms within their Center to have the same Family Communication Settings, they would turn the Customization Off. This would mean that all of the Classrooms would have the same settings that the Director had selected for the Center level. At any time, the Director could go to the Family Communication Settings and make changes for one specific classroom, but a Teacher would not be able to do so with the Customization Off.
If classrooms or centers within the program have different family communication preferences, it's important to leave the Customization toggle turned ON. You can still set default settings, and users that are a level below you will be able to edit them to fit their needs.
Digest Settings
The Family Digest allows Teachers to schedule all tagged Moments of children to be automatically sent to their families on a specified day(s) and time each week rather than one at a time. This would allow families to receive one message with all of the Moments at a scheduled time rather than one by one. Please note, if no Moments have been captured since the last Digest was sent, families will simply not receive a Digest.
If Directors and Administrators have allowed Classrooms to customize their Family Communication Settings, then Teachers can select the dates and times they would like the Digest to be sent. They can select as many days as they would like! If Directors and Administrators have chosen to turn the customization off, Teachers would not find the Family Communication Settings in their profile. If customization is off, Directors and Administrators would have to select the settings for the Digest, including the date(s) and time.
To indicate Digest settings, including day(s) and time of day, click the setting (gear) icon to the right, across from "Send Message on Friday at 6 PM" (which is the default setting):
Then, in the next pop-up window, select the days and time and click "Save":
You can learn more about the Digest here.
Show Tags in Family Communication
Additionally, when observations are sent to families, they will see the captions, notes, and media that teachers have captured out. If you would like them to see any of the tags you have included in the observation, check the box to "Show Tags on family communication." This is a great way to provide additional context to their child's learning!
Family App Settings
In the Family App section of Family Communication Settings, users have the ability to enable Drop Off Notes and Liability Checks that are accessed through the Kaymbu for Families app.
Drop Off Notes
If Drop Off Notes are turned ON, families will have the option to add a note when dropping off their child(ren) for the day. To do so, they would open the Kaymbu for Families app on their device and select DROP OFF from the menu at the bottom. In addition, for programs using Attendance, families will also have the ability to submit absences for their child for the day when the Drop Off Notes are enabled. The information from Drop Off Notes is published in the Drop Off Notes Report in the Kaymbu system.
Drop Off Notes Fields
Drop Off Note Fields allow families to include important information in their Drop Off Note, such as what time their child woke up or had their last bottle/meal. This information will automatically feed into the Daily Sheets tab to provide teachers with more information directly from families. To enable Drop Off Note Fields, go to Settings > Family Communication Settings > Drop Off Note Fields and select the fields you would like enabled. The available Drop Off Note Fields are shown in the image below:
Once these fields are enabled, families will see them available on the Drop Off tab of the Kaymbu for Families app, as pictured below:
Once submitted, badges will appear next to Daily Sheets on the Menu, next to the Daily Sheets tab in Daily Sheets, and at the top of the student tile in Daily Sheets.
The information submitted will be available on the Daily Sheets tab in Daily Sheets!
Liability Check
If Drop Off Notes are enabled, programs also have the option to require families to sign Liability Waivers. To add a Liability Check, make sure that the Liability Check toggle is turned ON by going to Settings > Family Communication > Family App > Liability Check ON. Once the Liability Check is on, you will have the ability to edit the language by selecting the small pencil icon.
When editing the language of the Liability Check, you have the option to require families to agree to more than one statement. To do this, start each new statement on a new line with an asterisk (*), such as in the example below.
Once your Liability Check is on, it will appear in the Kaymbu for Families app under Drop Off. Families have to select each checkbox before they can submit!
Daily Sheet Settings
Daily Sheet Auto-Send at Check Out
When this option is enabled, Daily sheets will instantly be sent to its recipient(s) once a student, or multiple students, are checked out from the Attendance Dashboard.
To activate this automatic feature of sending Daily Sheets, navigate to Settings > Family Communication Settings. Under Daily Sheets, turn the toggle ON to allow Daily Sheets to be automatically sent upon student check out.
Family Reply Settings
When users send a message to a family member's email, the family members will have the option to reply directly to the email. By default, the responses will go to all teachers in the classroom who sent the message, but if you'd like to direct them elsewhere, uncheck the box for "All Classroom Teachers" and enter the updated email address!
