Assessments
How do I enable the ELL learning items on the Assessment Dashboard?
The ELL learning tags in the COR Advantage Assessment are specifically in place for students who are emerging bilinguals/dual language learners. For the ELL learning items to be available under a student’s assessment, the child must be at least two years old and have a Home Language other than English, both of which are listed in their student profile on the Roster.
COR Advantage learning tags are being scored and tagged to observations, but why are the observations not appearing on the student’s assessment report/Assessment Dashboard?
The capture date of a Moment/observation determines what assessment period the photo will be applied towards. Please note that the capture date can differ from the published date. The capture date of a Moment is located in the top left corner of a photo and can be edited if needed so that it falls within the applicable period. The period dates for your account can be accessed through your Settings on the Kaymbu platform. For more information on Period Settings, you can click here.
How can we view student growth across periods?
You can utilize the filters located at the top of the Assessment Dashboard by selecting “Highest Score” and “Show Previous High Score” to compare current scores from the previous period. Scores that appear in gray indicate that they are from the previous period. Please note that this feature is only available after the first period of data is collected, as then there is information to compare.

Moments
Photos are being published to the Moments page, but why are families not receiving them?
Below is a quick guide on what will occur with each publishing option. Users will need to ensure that they are selecting the appropriate option when publishing Moments.
- Send Now: sends the photos to families in real-time (pending director approval, if enabled). If your account has the Daily Sheet Digest enabled, please note that selecting “Send Now” will not include the photo in the student’s Daily Sheet.
- Send in Digest: includes the photos in the student's Daily Sheet (if the Daily Sheet Digest has been enabled for your account). The family will receive the photos when the Daily Sheet is sent out. Additionally, families will receive an end-of-the-week recap, also known as the Weekly Digest, of all photos published through the “Send in Digest” option.
- Save to Moments: saves the photo to the Moments page, but it does not get sent to families.

How can teachers capture, publish, and share photos of non-homeroom students who are visiting their classroom temporarily?
The Students In Your Care feature allows teachers to capture Moments of their homeroom students and students who are in their care in Attendance.
With that said, here are a couple of things to keep in mind regarding the Students in Your Care feature:
- Ensure that you have enabled the Students in Your Care setting. This can be located at the director level by navigating to Menu > Settings > Moments Settings > Students in Your Care.
- Ensure that your devices have the latest Kaymbu app version.
- The teacher capturing the observation must be logged in and marked as On Duty in Attendance in the same location that the student has been moved to.
- Students must be in your care before you create the draft. This means that if you start a draft (any type) and then a student is moved to your care, you will not be able to tag them. However, you will see them and can tag the student for any drafts you create from then on (while they're with you).
Storyboards
Our school has created and sent Storyboards to families. However, when teachers edit these existing Storyboards (that were previously sent to families), the content is also edited on the families end. How can we edit an existing Storyboard without causing changes to the Storyboard that families have already received?
When editing an existing Storyboard (that was previously sent), all updated content will be visible to all recipients of the original Storyboard. In this case, the best practice would be to create a copy of the original Storyboard and then make the necessary edits on the duplicated copy. This will ensure that the families will only have access to the original Storyboard. For more information on copying Storyboards, you can click here.
Lesson Planner
Can lesson plans be shared between classrooms?
Users are unable to share lesson plans across different classrooms. However, you can reach out to our support team at help@kaymbu.com as they will be able to assist with requests such as lesson sharing.
Can families view lesson plans?
Lesson plans can be shared with families through the different options listed below:
- Daily Sheets Digest: An enhancement to the Daily Sheets feature, which will include both Moments and Lessons in a student’s Daily Sheet in addition to care activities.
- Print and Share Lesson Plan Summaries: Users can choose to email or download full lessons or weekly/daily summaries to share with families directly from the Lesson Planner grid.
Is there an option to remove the “Additional Planning Notes” section when printing lesson plans?
The Additional Planning Notes section is only included when selecting the option to print Daily Lessons. Alternatively, you can choose to print lessons using the Weekly Summary or Daily Summary options which do not include the Additional Planning Notes section.
Portfolios
Can custom tags and IEP goals be added to Portfolios?
Yes! Custom tags (including IEP goals) can be created and shown using Kaymbu Portfolios. You can learn more about tags and creating your own learning tags by clicking on the links below:
Can Portfolios be sent to all families at once?
At this time, bulk sending Portfolios is not yet available; each student portfolio must be sent individually. This is intentional to ensure that every Portfolio is sent to the intended family/recipient for confidentiality reasons.
Can student portfolios only reflect the highest scores or specific categories?
When printing or sharing Portfolios, you have the option to customize the layout of the report and whether or not to include specific observations. You can learn more about these options by viewing the articles listed below:
*It is important to note that scores themselves are not shared with families. The scores are converted into family friendly language that shows their students’ progress.
Attendance
Is there an attendance feature for staff?
At this time, the Kaymbu platform does not support the logging of staff attendance. However, please know that this feedback has been captured and is being considered for a future update!
How can we track children who switch classrooms during the day?
For users of the Attendance feature, you can move students to different classrooms and locations by moving the students through Attendance or by using the Bring People Here tool. Teachers or directors can track the movement of these students by referring to the Attendance Log or the Attendance Summary Report.
Daily Sheets
Are teachers able to log Daily Sheet activities for visiting/non-homeroom students?
Yes! For users of the Daily Sheets and Attendance features, teachers can log daily care activities for all students who are in their care as long as the teacher is logged in and marked as On Duty in the same location as the student(s).
In the images, below, you will notice that visiting students appear with a location icon on their profile avatar to remind staff that they are visiting students.
Messaging
Can the urgent feature be used for individual messages?
Currently, urgent messaging only works for group Announcements, not individual messages.
Can Announcements be sent to selected families instead of an entire center or classroom?
Announcements must be sent to entire classrooms or centers. At this time, targeted announcements for specific families are not yet available. Alternatively, you do have the option to send a direct Conversation to individual families. Please note there is no ability to message an individual family member through Kaymbu's messaging platform.
Reports
How can I view the content that is shared with families and know they are being received?
The Shared Content Report is a great resource as it provides a record of communication sent via Kaymbu, and can be retrieved, viewed, and tracked for delivery and opens by each recipient. You can learn more about the Shared Content Report by clicking here.
Can reports carry over data from previous periods?
Yes! For users of the COR Advantage assessment, locking your periods and properly closing the school year is important in organizing and preserving your data. This will allow you to refer back to previous periods and/or school years, when needed, knowing that the information is accurate. The reports available on the Kaymbu platform will allow users to filter to previous periods or school years as needed.
Additionally, you can utilize the filters located at the top of the Assessment Dashboard by selecting “Highest Score” and “Show Previous High Score” to compare current scores from the previous period. Please note that this feature is only available after first period data is collected, as then there is information to compare.
Roster
A student’s profile was accidentally duplicated in the Roster and there are Moments associated with both profiles. What is the best way to merge these profiles?
At this time, the only way to merge duplicated student profiles is to re-tag all Moments to a singular student profile. If the student profiles are located in different classrooms, they will need to be moved so that both profiles are located in the same classroom. Depending on whether the periods were locked or if the school year was closed, it may not be possible to re-tag the observations.
In order to "merge" duplicated student profiles, the best steps will be:
- To navigate to Menu > Moments.
- Use the "Student" filter at the top of the page to select the set of duplicate students (For example, select John Doe 1 & John Doe 2). This will populate all Moments associated with the original and duplicated student profile.
- Next, click through each Moment to tag the photo to the student profile you will be keeping (it may be easier to tag the Moments to the profile with the most observations associated with it). Then, detach/untag the student profile you no longer need.
- Once all Moments have been attached to the singular student profile, navigate to the Roster to archive the student profile that no longer has content associated with it.

How do we close the school year correctly?

Please note that only the highest level user will have the ability to close the school year.
Kaymbu for Families App
Why is there no audio when families play videos shared with them on the Kaymbu for Families app?
We recommend that families ensure that their device is not set to silent mode while playing videos on the Kaymbu for Families app. If a device has silent mode on, the sound does not play, but once you turn off silent mode, the sound begins to play. If silent mode has been turned off, yet there is still no audio, it is possible that the device recording the videos may need to allow the Kaymbu app to have access to its microphone settings.

Can families bulk download photos from the Kaymbu for Families app?
At this time, photos and videos can only be downloaded individually directly from the family app. However, if your school/program utilizes the weekly Family Digest (which is typically sent at the end of every week), families are able to download multiple photos and videos at a time directly from the Digest.
